Compliance needs ownership, dates and evidence
A certificate spreadsheet tells you a date. It does not tell you who owns the renewal, whether the contractor is booked, where the document is, or who gets told when it slips. The same gap appears with DBS checks, training, policy reviews and complaints.
Evidwell links every requirement to an owner, evidence and a task, and escalates before anything becomes overdue. Because support, property and staff records live in the same system, you can see compliance by property, by scheme or across the whole organisation.
Common supported housing property compliance items
Requirements depend on the property type, tenure and local licensing. These are the items providers most often track:
| Item | Typical cycle | Notes |
|---|---|---|
| Gas safety certificate (CP12) | Every 12 months | Gas Safety (Installation and Use) Regulations 1998 |
| Electrical installation condition report (EICR) | At least every 5 years | Required for private rented homes in England |
| Energy performance certificate (EPC) | Valid 10 years | Needed when letting |
| Fire risk assessment | Review regularly and after changes | Regulatory Reform (Fire Safety) Order 2005 for shared areas |
| Fire alarm testing and servicing | Weekly test; periodic servicing | Commonly following BS 5839 |
| Emergency lighting | Monthly test; annual full test | Commonly following BS 5266 |
| Smoke and CO alarms | Check at start of each tenancy | Smoke and Carbon Monoxide Alarm Regulations |
| Legionella risk assessment | Review regularly | Health and Safety Executive guidance |
| HMO licence | Usually up to 5 years | Where the property is a licensable HMO |
| Portable appliance testing | Risk-based | Common for provider-supplied appliances |
General guidance only — check current legislation and your local authority requirements for each property.
